Rates on current forms of Metro Toronto Convention Center (MTCC) do not reflect the price change that will come into effect by April 1, 2016 for the next fiscal year. New forms will be provided by MTCC when new prices become available. All exhibitors who may purchase under 2015 prices will be charged 2016 prices, even if they order the services now.

MTCC online ordering system only shows 7 months in the future, so this show will not be available for online ordering until December 2015.

Show hours:

At least one representative of the exhibitor should be at the booth 30 minutes before the opening of the show each day.

Dismantle/move-out hours

Forced Freight/Labour: Any material left by the exhibitor on the show floor by 2:00 Pm on Friday, June 10, 2016 will be forced of the show floor and on to the official carrier’s vehicle for delivery to the address indicated on the bill of lading and the cost for said service will be paid by the exhibitor.

Health and Safety

All exhibitors, contractors and everyone inside the halls during move-in and move-out times and during set up and dismantling must comply with Occupational Health and Safety act governed by Ontario Ministry of Health.
Everyone (Exhibitors, contractors, everyone inside the halls) must wear CSA Approved safety footwear.

If there is overhead work, approved hard hat must be worn.

Exhibitors must make sure that their personnel, contractors and whoever is involved in set up and dismantling of their booths:
– are informed about the health and safety requirements,
– are trained/certified to perform their job safely,
– wear proper and approved safety equipment (CSA Approved safety shoes, approved hard hat and any other safety gear as needed),
– are aged 16 or older.

All medical emergencies have to be reported to the show management immediately.
If working at heights is required, Exhibitor has to make sure that no one is using a ladder higher than 12’ and no one is using anything like tables, chairs, boxes or anything other than a proper extension device to lift a person. If a work to be performed over 3m height, proper fall protection equipment has to be worn.

Please note that only SHOWTECH electricians are allowed to perform electrical work. All Electrical equipment must be CSA approved.
All exits have to be kept clear at all times.

 

Insurance

Exhibitors must procure the following insurance coverages as required by Management:

Each Exhibitor shall procure and shall furnish Management with evidence of Commercial General Liability insurance in the limit of $5 million per occurrence.

Such insurance shall also contain the following clauses:

– World Expo Trading Inc. and Metropolitan Toronto Convention Center Corporation as additional insureds

– Cross liability clause

– Non owned automobile liability insurance

– Host liquor liability coverage clause

Each Exhibitor shall also insure all of their exhibition equipment, goods, materials and contents, including electronic equipment, for its full replacement cost under an All Risks insurance policy containing an exhibition floater (or exhibition rider) as required.

Evidence or confirmation of such insurance must be furnished to Management, by way of certificate of insurance, in conjunction and along with the deposit amount payable on or before March 10th, 2016.

Such certificate or evidence of insurance must also stipulate that such insurance shall not be cancelled nor materially reduced in coverage without at least 30 days written notice to Management.

Electricals

Exhibitors with unapproved electrical equipment that wish to display but not to connect or provide electricity to the equipment, must complete the application for Permission to show  and pay the fee indicated for unapproved electrical equipment that will be displayed but not energized.

Exhibitors that wish to connect and energize (provide electricity to) unapproved electrical equipment, must complete the application forPermission to Energize  and pay the Permission to Energize fee indicated for each piece of unapproved electrical equipment. Exhibitors are not required to complete the application for Permission to Show for the same piece of equipment.

Stronco is the official supplier for Logistics and Customs services. Please contact Stronco or check Authorised Suppliers & Orders section for more information or to place an order.


Rigging Policy / Overhead Work

Showtech is the exclusive provider of all rigging services. Please contact Showtech and place your orders online for all your hanging structures on Authorised Suppliers & Orders  section.

Please check MTCC Forms and Regulations Package for rules set for rigging works in MTCC and also fill and return Rigging Load Release Form.

 

Catering Services

MTCC is the exclusive supplier of catering services. Please refer to MTCC Forms and Regulations for all regulations and visit Authorised Suppliers &Orders  section to place your orders online.

If you wish to hand out smaple food during the show, please fill and return Authorization Request – Sample Food and/or Beverage Distribution  form.

 

Internet and Telecommunication Services

MTCC is the exclusive supplier of Internet and Telecommunication Services. Please refer to MTCC Forms and Regulations Package for all regulations and visit Authorised Suppliers & Orders section to place your orders online.

 

Other Rules and Procedures

Please refer to MTCC Forms and Regulations Package for Emergency Procedures, Helium Authorization Request, Propane Cylinders & Gas Appliances, Animal Authorization Request.

Organizer reserves the right to reject any booth with an unprofessional appearance.

Organizer will provide with the pipe & drape separations for all standard booths without carpet.

All booths must be carpeted. Carpets must be ordered by the exhibitor. Please refer to the Carpet Order form if you wish to place your order from the official supplier of the show.


Booth Display Approvals

All booth designs have to be sent to the Operations for approval latest 1 month before the show.


Height Restrictions

Standard booths:

Height of back wall: 8’ (max)

Height of side walls: 4’ (max. 5’ from the aisle line) and 8’ (max. up to the back wall)

Peninsula Booths:

Height of back wall: 12’ (max) Back of the wall has to be white, clean and neutral color without any graphics.

Height of the exhibit structure must not to exceed 16’

Island Booths:

Height of the exhibit structure must not exceed 16’

Structures above 8′ requires structural calculations by a certified Professional Engineer of Ontario.
It is Exhibitor’s responsibility to make sure all booth constructions and exhibits are safe, structurally sound and as per the rules and regulations.

Raised flooring: We recommend not to use raised flooring however if you chose to have a raised flooring, make sure to avoid tripping hazards. The maximum height of the flooring shall be 3″. There must be wheel cahir ramps with at least 3′ width and the slope of the ramp can be maximum 1:12, with a non-slip surface, with appropriate landing at the top and bottom of the ramp, minimum 3′ x 5′. Ramps can’t pass the booth borders.


Double storey constructions

Please contact the Operations if you are planning to build a double storey booth before you start your design. Detailed information will be provided.


Notice of project

All booth constructions exceeding the total amount of C$50,000.00 requires Notice of Project from Ontario Ministry of Labour

 

Electrical, Water, Air Gas and Rigging

ShowTech is the exclusive provider of all Electrical, water, gas and air supply and installation services and rigging. Please check go to ShowTech Online Order Page  to place orders of such services and learn about rules and regulations.

 

Fire Regulations

All Exhibitors must comply with the Fire Regulations and Requirements of the City of Toronto Fire Department and follow Metro Toronto Convention Center’s Fire Regulations For Exhibitors Please read, fill and return Fire Safety Reply which can be found in MTCC Forms and Regulations Package.

 

Vehicle Displays

Due to the nature of the show, vehicle display is not expected. Contact operations to get more information about rules and regulations if you wish to place any vehicle in your booth space.

 

Move in – Installation

Exhibitors are allowed to unload themselves at the MTCC by hand carrying item, use of dollies and pump trucks.

If a forklift is required for off loading, Exhibitors must make arrangements with Stronco directly for this service.

Exhibitors may make arrangements with Stronco for Advance Show Receiving if they wish to have more time for build-up and have some or all of their exhibits on the show floor early.

 

Move out – Dismantle

Forced Freight/Labour will be in effect. Any material left by the exhibitor on the show floor by 2:00 Pm on Friday, June 10, 2016 will be forced off the show floor and on to the official

carrier’s vehicle for delivery to the address indicated on the bill of lading and the cost for said service will be paid by the exhibitor.

Empty crates will be delivered to show floor soon after the aisle carpets are removed.

Exhibitors will be informed about details of move out and dismantling during the show by the organizer.

Exhibitors may appoint contractor(s) (EAC) for design, build and dismantling of their exhibits.

Exhibitors must make sure that EAC performs a professional service as per all the rules and regulations of the show.

EACs can’t supply any product or service which is supplied by exclusive suppliers of the show and MTCC.

The EAC must have a valid public liability and property damage insurance policy for a least $5,000,000. The certificate of insurance must name World Expo Inc., Stronco and the Metro Toronto Convention Center as co-insured. Proof of insurance must be sent to Operations.
